- Research Assistant (RA) – works on their own research. Annual 12-month appointment, e.g., dissertator
- Project Assistant (PA) – works on faculty or center research project.

Undergraduate Students
- Can an undergrad be a PA or an RA? – No!
- However, a graduate student can be a student hourly – doing non graduate level work.

Who gets paid leave (sick leave & vacation)?
Vacation is available for A-Basis appointments only (see the L&S Student Assistant Leave KB); most of IRP’s student hires are C-Basis.
Sick Leave
- TA, PA, and RA are eligible
- Eligible employees are credited with paid sick leave
- Not prorated for FTE
- Based on length of appointment
- Full Fall or Spring Semester appointment = 48 hours
- Full Academic year appointment = 96 hours
- Summer Term and all other appointment lengths = 8 hours for each 30 days (or portion thereof)
- Usage: PA = 15-minute increments, RA/TA = 1-hour increments
- Unused sick leave is not paid out
Vacation
- A-basis PA and RA are eligible
- Eligible employees earn paid vacation
- 180 hours per fiscal year, if 100% FTE
- Prorated for FTE
- Prorated for length of appointment
- Example: 50% A-basis PA 9/1/2021- 8/31/2022 will receive 90 hours of vacation
- Usage: PA = 15-minute increments, RA = 1-hour increments
- Unused leave is not paid out
What does FLSA Exempt vs. Non-Exempt mean?
Exempt (salary) employees are not required to report their time worked. They are required to report leave usage.
Nonexempt (hourly) employees must account for time worked rather than accounting for leave used. All time worked must be reported. Leave time must be reported in 15-minute increments.

Student Pay Rates
When do I have to pay Tuition Remission?
- Under Wisconsin Statute 36.27(3)(g), the contract with the Teaching Assistants’ Association (TAA), and University policy, UW-Madison remits the full tuition for Research Assistants, Teaching Assistants, Program/Project Assistants and Lecturer Student Assistants (RA, TA, PA, and LSA) who hold eligible appointments.

How do I approve my workers time?
Accessing Manager Self Service (MSS)
- Employee Self Service (ESS) is accessed via the My UW Portal.
- Employees at all campuses except Madison will log in to the My UW System Portal at https://my.wisconsin.edu/. Click the Work Record tab can be found on the far right hand side of the page.
- Employees at the Madison campus will log in to the My UW System Portal by visiting my.wisc.edu. Click the Work Record tab.
- To review time, click on the Approve Payable Time (for supervisors only) link below the HRS Self Service Links information.
- Click the Approve button to approve the employees time. The time will be sent to payroll and processed so the employee receives a paycheck.
